| Creating a Custom Report |

There are three different options you can get started with creating your custom report. Each option provides a convenient entry point to help you begin the process, allowing you to choose the one that best suits your needs or workflow. |
|
On the sidebar menu, navigate to the 'Reports' tab to create a custom report tailored to your specific requirements |
|
Then click the '+ Add New Report' button in the top-right corner of the screen before proceeding to the 'Setting Information' step. |
|
Option 2 – From 'Library' tab ↑ Back to top ↑ |
|
Navigate to the 'Library' tab, then click the 'Theme Library' option to choose the report template to create a custom report tailored to your specific requirements. |
|
Next, select a theme from the templates list. You will see a list of predefined templates from DXT360, as well as the templates you have customized and saved earlier. There is also a preview to ensure everything looks correct. When ready, click 'Use Template' button to move on to the next step. |
|
Option 3 – From 'My Data' tab (only for one-time report) ↑ Back to top ↑ |

The final way to create your custom report is through the 'My Data' tab. Keep in mind that this option is designed for one-time reports only, and customization is limited to specific fields. |
|
First, go to the 'My Data' tab on the sidebar menu and select the 'Raw Data' option to proceed. |
|
Next, choose the mentions/data you want to include in your report. You are allowed to select up to 100 mentions/data per report. Then, click the 'Send to Report' button to continue. |
| Next, select a report template from the available list. You can choose either a predefined template provided by DXT360 or a customized template you have previously saved. Once selected, click the 'Continue' button to move forward. Please note that by selecting this option, all the mentions you have selected will be combined into a single post grouping. |
|
You can optionally edit the report details, but the recipient field (Email/WhatsApp Group/LINE account) is required. Once you complete the required field(s), click the 'Confirm' button to proceed. |
|

You are now ready to set up your custom report. Please note that the following steps only apply to Option 1 and Option 2 mentioned previously. |
| To begin, select a template for your report from the options available in our library. |
| Select a theme from the available templates. You will find a list of predefined templates provided by DXT360, along with templates you have previously customized and saved. On the right side of the screen, there is also a preview to help you double-check and make sure everything looks right before using it. Then, click the 'Use Template' button to proceed to the next step. |

After selecting the theme, the next step is to set up the report delivery channel(s). You are allowed to send the report to email, WhatsApp, and/or Line. |
|
Next, set the contact details for report delivery. Please take note that only invited/selected users can receive and access the report. |
|
To send the report to WhatsApp, please follow below guidelines: |
| 1. The CX team must first create a WhatsApp group. |
| 2. Ensure that the name of the WhatsApp group matches the name to be entered in the corresponding field. The group name must be exactly the same as the one entered for the system to recognize it. |
| 3. Select the WhatsApp number that will act as the group admin, and make sure the number is set as an admin. |
| To be able to send the report to LINE account, you need to connect social account(s). |

The next step is to select the report delivery type. If you choose 'Recurring', you will need to set the delivery interval. |
| If you select 'Recurring’, you will then need to choose a report trigger type. There are three options available, choose the one that best suits your needs: |
| 1. Based on Keyword or Campaign: This option sends you a notification whenever a post matches the keywords or criteria you set during the alert setup. |
| 2. Based on Sentence Type: This option notifies you whenever a post matches the sentence type criteria you specified during alert setup. |
| 3. Based on Buzz Threshold: This option notifies you when your campaign reaches a specified number of conversations. |
| If 'One Time' is selected, the report will be delivered as a one-off report based on the curated data. By choosing this option, the 'Self-Curated' trigger type lets you customize the data included in the report to match specific requirements or criteria. |

Once all required fields are filled in, click the 'Continue to Content' button to build the content of your report. |

| One-Time Report Content |
| 1. Customize the Header |
| Personalize your report by adjusting the header section. You can customize the report title to fit your needs and optionally enhance it by adding your company logo or a report banner. Simply click 'Add Item' to make these adjustments. |
| Before proceeding, you are required to select mentions as the data source to display relevant information in your report. Please note that if you select the 'Integrated Alert' report template, all selected mentions will be displayed in one post group. |
|
Next, select the performance type to tailor the metrics displayed in your report. This choice determines the data insights you receive, so pick the option that best aligns with your needs. |
| Then navigate to the 'Content' section to enter the specific elements of your report. |

Customize your report by optionally adding up to two post groups, along with headings (up to 5) and texts (up to 5) as needed. Click 'Add Item' and select the elements you want to include in your report. |

These adjustments will directly impact how data is displayed in your report, ensuring it aligns with your preferred structure and presentation. Click 'Save' and continue to 'Email Footer' section. |

Customize the email footer by adding a designated contact email, which will appear in all report emails. Keep in mind that the footer text is standardized and cannot be modified. |

Next, carefully review all report details, including the report name, email subject, send time, recipient list, and trigger type. Verify that all settings align with your intended objectives before proceeding. Ensuring accuracy at this stage helps prevent errors and ensures the report is sent as expected. |

Before sending the actual report, you can send a test version of the report to designated email(s) to make sure that the formatting, layout, and content appear as expected. |
|
A 'Send Test Email' pop-up window will appear, allowing you to select a registered email address to receive the test email. You will also be notified of the remaining test emails available for the day. Click 'Send' to preview the report, or select 'Cancel' to return to the previous screen. |
|
After reviewing the report and ensuring that the formatting, layout, and content are correct and displayed as expected, click the 'Confirm' button to finalize and proceed. |
|
For a one-time report, after clicking the 'Confirm' button, a pop-up window will appear, prompting you to save the report as a reusable template for future use. This allows you to streamline report creation by reusing the same format and settings. |
| For a recurring report, after clicking the 'Confirm' button, you will be redirected to the 'Reports' dashboard. A 'Report [your report title] successfully updated' toast message will appear, confirming that the report has been successfully scheduled for delivery. |
